Code of Conduct / Event Rules

​

The safety and well-being of all participants to include: event staff, runners and spectators is our primary responsibility and this Code Of Conduct / Event Rules document outlines some simple values and considerations that we are all responsible for so that we can all enjoy this wonderful event together.

 

Respect for Participants, Event Staff / Volunteers and Race Officials.

​

Treat everyone – fellow participants, spectators, volunteers and event staff with courtesy and respect. We take a zero tolerance approach to abuse, harassment or inappropriate behaviour. Please follow the guidance and instruction of event staff and race officials at all times.

 

Vehicle & Parking

​

Vehicles – Motorbikes, cars and small vans are welcome. Medium and long-wheel based vans, to include all factory / coach-built motorhomes are not permitted.

​

Parking – All cars are to park within the designated parking areas. Follow the guidance of the event staff on arrival.

​

Speed – 5mph maximum around the campsite and the parking field.

 

Campsite Etiquette & Behaviour

​

Setting up - Camp within the marked areas and follow any guidance from event staff helping participants set up the camping field. Camp respectfully and sensibly. Be efficient with the limited space available. Tents need to be pitched at least 2m apart.

​

Quiet hours – are between 22:00 hrs and 07:00 – please respect these.

​

Music – may be played around tents, yurts, pods etc respectfully and sensibly. If someone asks you to turn down your music, it’s too loud. Music containing foul language is not OK.

​

Campfires – are not permitted.

​

Firepits – are permitted if they are small (less than 1m diameter) and raised at least 25cm off the ground. They must be supervised at all times and positioned away from tents and any combustibles. Fire wood must be brought with you or purchased on site. Fallen trees or ‘dead’ wood lying around the campsite must not be used for firewood.

​

BBQs – are permitted if they are raised at least 25 cm off the ground. They must be supervised at all times and positioned away from tents and any combustibles.

​

Cooking – must be done sensibly. Grey water must be disposed of in the designated areas and not simply thrown onto the ground around tents.

​

Washing and cleaning teeth – must be done in designated areas. Spitting around the campsite is not OK.

​

Waste – goes into the bins provided or taken home.

​

Recycling – is encouraged and there is a designated area for this on site.

​

Toilets – are located around the campsite. Under no circumstances may participants create their own toilet somewhere else around the campsite. Urinating in public areas or into bushes around the campsite is not OK.

​

Water – will be provided both for drinking and for washing. Use only designated taps. No washing dishes in drinking water stations.

​

Alcohol – may be brought and consumed on site by anyone over the age of 18 but this must be done responsibly. We take a zero tolerance approach to abuse, harassment or inappropriate behaviour as a response to alcohol consumption. We take a zero tolerance approach to illegal substances.

​

Dog / Pets – are not allowed at the Ultra Trail Grizedale event.

 

4. External Facilities

​

Rescue One Medical Services – will lead on all medical support and will be based at Race HQ close to the start / finish area.

​

Showers / wash stations – are provided. Use these respectfully to include shower timings. Please leave showers and wash stations as you would wish to find them.

​

Catering – will be provided by a few different vendors for those who do not wish to cook for themselves. Follow the guidance of individual vendors and if queues develop, be patient.

​

The Grizzly Bar – will provide alcoholic and non-alcoholic drinks. Drinks cannot be taken and consumed off site. Event staff have the absolute right to refuse to serve anyone without proof of age or if event staff feel that a participant’s behaviour is deemed inappropriate or likely to become problematic, if served alcohol.

​

5. Race Etiquette

​

Ethos – All event participants are expected to enter into the spirit of the event and to adhere to the values of fair play and sportsmanship. If a fellow runner requires assistance, it is expected that you stop and take every reasonable measure to help them.

​

Allocated Race Numbers – Must be worn throughout both races. We appreciate that we may not always be able to see it as it could find its way underneath a waterproof jacket, warm layer, fancy dress etc but in an emergency situation, it helps us identify who you are.  

​

Allocated (Disposable) Race Ankle Timer – must be worn for the duration of Saturday’s race. It is used to time your laps. Only remove it for the final lap on Saturday if you are not the person in your pair or team that’s being timed for that final lap.

​

Passing etiquette – If you intend to pass someone on the trail, give them as much room as possible. If you’re on a singletrack, announce your intentions “passing on your right / left”. Always pass runners respectfully.

​

Yielding etiquette – Slower runners must make way for faster runners. This may require stepping off the trail briefly. At no point can runners block other runners from passing on any part of the trail.

​

Headphone / earbuds – are permitted but runners must be able to hear other runners and / or instructions from event staff, spectators at all times.

​

Music on course – may not be played out loud, on speakers, along the race course.

​

Rubbish – must be disposed of responsibly - always. Anyone found to be dropping litter to include: drinks bottles, gel wrappers, banana skins will be disqualified. There are bins provided on and off the course. Leave no trace.

​

Running / Trekking Poles – are not permitted for runners on any part of the course.

​

Short cuts – are not permitted. Stay on the waymarked course.

​

Toilets – can be found around the campsite. If you need the loo on course, be responsible. A wild wee is straight forward but be modest. A number 2 is more complex but absolutely needs to be done with respect to our environment. Dig a hole, bury any human waste and pack out any toilet paper. Do not leave any wipes or toilet paper in the forest.

​

6. Safety Protocols

​

Runners – must be appropriately dressed for the course and on course weather conditions. Runners must adhere to the mandatory kit list, in whatever form this takes for each race. The final decision on what runners must carry will be announced on Friday night at 7pm at the latest. The emergency kit list includes:

​

  • Waterproof jacket

  • Long-sleeved warm layer

  • Hat

  • Spare food (chocolate bar, haribo, gel)

  • Whistle

​

Retiring – If you retire from either race, you must inform a race official. If you can safely return to the start / finish area, you are encouraged to do so. If not, arrangements will be made to assist you. Follow the guidance from the Event Staff.

​

Fire – In the unlikely event of a fire, all participants must follow the instructions of the Event Staff and your full attention, cooperation and assistance is of paramount importance.

​

Evacuation – In the unlikely event of a site / course evacuation, all participants must follow the instructions of the Race Officials / Event Staff and your full attention, cooperation and assistance is of paramount importance. This may include a serious security threat, thunder and lightning or other serious incidents.

​

Illness - Participants must not attend the event if they knowingly have, or are displaying symptoms of any contagious infection such as norovirus, influenza, COVID-19, or other communicable illnesses. Runners are responsible for monitoring their health in the days leading up to the event and must withdraw if they pose a risk to other participants, volunteers, or the wider community. Anyone found to have attended while knowingly infectious may be removed from the event and may be disqualified from future participation. This policy is in place to protect the health and safety of all attendees.

 

7. Enforcement & Consequences

​

Complaints – Official complaints must be made in writing via explore@lakota-expeditions.com and will be investigated thoroughly.

​

Consequences – If any participant is deemed to be falling short of the Code of Conduct or has broken the Event Rules, they risk being asked to leave the event and may be banned from any future events, without a refund and at the participants own expense.
